Research Drive (ENG): Invite a user

Introduction

To start sharing folders and files, users first need to be invited.

Research Drive provides several ways to share folders and files. This information can be found on the following pages:

 

Note: As the project owner, you are responsible for changing and removing access rights for members of your project folder.

Send invitation

All users are able to invite another user. To invite a user, follow these steps:

1. From "Menu", go to "Dashboard".


2. Click "Allow" (the Dashboard application requires permission).
3. Go to the "User accounts" tab, click on "Invite user" and fill in their details.

If you want to invite multiple users at the same time, you can go to "Invite multiple users" and select a .txt or .csv file that you have created in advance. A csv file can be created using Microsoft Excel. An example of the contents of such a file:

4. The user will receive an invitation by email from Research Drive.
Please note that externals (outside HAN) who are invited should always select a local account (use link in email they received). This also applies to users from other universities/universities of applied sciences who normally log in with SURFconext.
If a user from another university/university of applied sciences already has a Research Drive account, you can also invite them via their Federated Cloud ID. How do you do this? Read how at: Share with Research Drive user at another institution
 

Invitation Received

You have received an email from Research Drive inviting you to create an account.

1. In the email, click on "Create your Research Drive account".
2. You will see the following screen:

- Are you employed at HAN? Then select "Use SURFconext". You will then be able to log in with your HAN account.
- Are you employed by another organization? Then select "Set password".
Note: also select "Set password" if you are affiliated with another university/university of applied sciences where you normally log in via SURFconext.
One exception to this: are you affiliated with another university/university of applied sciences and already have a Research Drive account? Then inform the HAN contact person who invited you. They can add you to a project via your Federated Cloud ID. How does this work? Read how at: Share with Research Drive user at another institution.
After accepting the new invitation (which will appear in Research Drive itself), the project will be visible in your own organization's Research Drive environment.
3. After selecting "Set Password", you will receive an email confirming that your account has been created and an email with your password to log in. Change this password immediately after logging in for the first time.
