Research Drive (ENG): SHARE WITH RESEARCH DRIVE USER AT ANOTHER INSTITUTION

Introduction

A Federated Share allows you to share folders or files with Research Drive users at another university or university of applied sciences. The advantage is that these users will see your project in their own Research Drive environment. You will need a Federated Cloud ID for the user you want to share files with. Below, we will show you how to find your Federated Cloud ID and share folders with Research Drive users at other institutions.

HOW TO FIND YOUR FEDERATED CLOUD ID

1. Go to your name and then click on "Settings" in the top right corner.

2. In the left pane, click "General" and scroll down to Federated Cloud ID.

3. Share your Federated Cloud ID with the user from the other organization. Once they’ve shared the folder/file with you, you'll see it (after you accept it) in your list of projects (and possibly other folders).

SHARE FOLDER OR FILE VIA FEDERATED SHARING

1. Go to the folder or file you want to share. Click the Share icon next to the file.
2. The following screen will appear on the right: Enter the Federated Cloud ID of the user you want to share the folder with.

3. The folder is now shared. Click on  next to the name to grant them rights.
4. Set the permissions you want to give and an expiration date, if required.
The user in the other organization receives a notification that the folder has been shared with them.
5. If the user accepts the share, the folder will appear in their overview of projects in their own organization's Research Drive environment.
6. Want to stop sharing? Click on the recycle bin icon next to their name.
