Research Drive (ENG): SHARE VIA PUBLIC LINK

Introduction

If you want to share a file or folder with external users, you can choose to use a public link. When you create a public link, you get a URL (web address) that you can share with others. People who receive this URL can open the file. You can protect this public link by setting a password. You can also set an expiration date for the link.

SHARE VIA PUBLIC LINK

1. Go to the file or folder you want to share. Click the Share icon  next to the file.
The following screen will appear on the right:

2. Click on "Create public link". The following pop-up window will appear. Depending on the type of item being shared:

3. You can use the following options for a public link:

  • Link name : The name of the public link. This is particularly useful for identifying the link if you have created multiple links.
  • Download / View: Only allows the link recipient to view and download folders and files.
  • Download / View / Upload (folders only): Allows the link recipient to view folders and files, download files and upload to a folder.
  • Download / View / Edit (folders only): Allows the link recipient to view folders and files, edit existing items and add new items, download files, and upload files to a folder.
  • Upload only (folders only) : Does not allow the link recipient to see the contents of a folder, but they can upload a new file.
  • Password : If you set a password here, a password is required to access the shared content. We recommend that you set a password to prevent others from accessing your files.
  • Expiration date : If you set an expiration date, the link will expire after this date.

 
4.  If you share a file or folder through a public link, you can find it under public links. In the example, the name of the link is "Link to raw data folder."

Options:
Copy the public link by clicking on the clipboard icon.
You can delete the link by clicking on the recycle bin  next to the link.
By clicking on the gear icon , you can change the options of the public link. All links can also be viewed from the main menu (left side)

Note:
It is not recommended to use a public link to share files that contain personal information. It is always better to share these files with someone directly.
An exception to this is the use of "File drop". In this case, the link can only be used to upload files without viewing rights.
Keep in mind that if a public link without a password falls into the hands of an unintended person, that person will also have access to the link.
 

RECEIVE PUBLIC LINK

1. When a file or folder has been shared with you, check your mailbox. Sometimes the email will arrive in your spam or junk mail folder.
The email will look like this:

2. Open the email and you will see the content with a link.

ADD A PUBLIC LINK TO YOUR RESEARCH DRIVE

1. Open the URL of the share you received via a public link.
2. Click the "Add to your ownCloud" button in the top right corner.

3. In the input field, enter the URL of your Research Drive environment (https://han.data.surfsara.nl/) to add the folder to your Research Drive.

4. If the public link is password protected, you will need to enter the password again.
5. After these steps, you will find the share in the "Shared with you" menu option on the left side of your Research Drive environment.
